Privacy Policy
Last updated: 30 October 2026
This privacy policy explains how VOCA collects, uses and protects personal information through this website and our early-access waitlist. VOCA is an AI phone reception product in development for Australian motels and independent hotels. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Who we are
VOCA is operated by HelloVoca, based in Sydney, NSW, Australia. In this policy, “we”, “us” and “our” refer to that operator.
Privacy contact: [email protected]
What we collect
When you join the waitlist, we collect:
- your full name and work email address
- your property name and state or territory
- the property management system (PMS) you use, if you choose to tell us
- whether you are interested in becoming a pilot property
- your agreement to be contacted, and the date and time you registered
To protect the form from abuse, we use your IP address to apply a temporary limit on repeated submissions. We store this as a one-way coded value, not your IP address itself, and it expires after about 10 minutes. Our hosting provider may also keep standard server logs, such as IP addresses and pages requested, for security and maintenance.
We do not ask for, and you should not send us, payment details or sensitive information such as health information.
How we use your information
We use your information to:
- manage the VOCA waitlist and pilot programme
- contact you about VOCA product updates, early access and pilot opportunities
- understand which properties and systems VOCA should support first
- protect our website and prevent spam or misuse
We do not sell your personal information, and we do not use it for third-party advertising.
Who we share it with
Only authorised VOCA administrators can view waitlist registrations. We share personal information only with service providers who help us run the website, and only as needed for that purpose:
- Hostinger, which hosts this website, its database and our email
We may also disclose information where required or authorised by law.
Where your information is stored
Waitlist registrations are stored in our website database, hosted by Hostinger on servers in Indonesia, with backups stored in Singapore. This means your information is stored outside Australia. We take reasonable steps to ensure our providers protect it consistently with the Australian Privacy Principles.
How we protect it
The website uses encrypted HTTPS connections. Registrations are kept in a restricted database table that only administrators can access. Notification emails do not contain registrants’ personal details. No method of storage or transmission is completely secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
How long we keep it
We keep waitlist information for up to 24 months after our last contact with you. If you do not become a VOCA customer, we delete your registration within 12 months after VOCA’s public launch. We delete it sooner if you ask us to. Deleted records may remain in website backups until those backups expire.
Your choices and rights
You can ask us at any time to:
- access the personal information we hold about you
- correct information that is inaccurate or out of date
- stop contacting you, or delete your registration
Email [email protected] from the address you registered with. We aim to respond within 30 days.
Cookies
We do not currently use analytics or advertising cookies. The website uses only cookies needed for it to work, such as WordPress cookies for logged-in administrators and caching cookies that help pages load quickly. If we add analytics or similar tools, we will update this policy first.
Complaints
If you have a concern about how we handle your personal information, please contact us first at [email protected]. We will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes to this policy
We may update this policy as VOCA develops. We will post the updated version on this page and change the “Last updated” date. If a change significantly affects how we use your information, we will let you know before it applies.
